Goal

Prevent incorrect fuel from being dispensed into an asset

The Challenge

A major construction company operating in a remote area faced challenges in managing its diesel fuel resources effectively. The company operated a fleet of heavy equipment, including excavators, bulldozers, and trucks, consuming thousands of liters of diesel daily. Inefficient fuel management led to losses due to theft, inaccurate allocation, and underreporting of fuel usage, significantly increasing operational costs.

The client sought to:

  • Prevent incorrect fuel from being dispensed into an asset
  • Implement a digital audit trail for monitoring On-Road and Dyed Diesel fuel dispensing
  • Accurately monitor and report On-Road fuel usage in Dyed fuel applications
  • Mitigate Civil and Criminal consequences of Dyed fuel being used in On-Road applications
  • Increase ability to capture reimbursement of fuel taxes

Solution

Macnaught MX-Series Oval Gear Flow meters, RPM’s proprietary controller, existing fuel pump, wiring harness w/connectors to convert existing wiring on vehicles. diesel dispensed.

Background

Accurate reporting of on-road fuel usage is crucial for various industries, especially those relying on vehicle fleets for operations. Here's a detailed breakdown of its importance:

1. Cost Management and Efficiency
• Fuel Cost Tracking: Fuel is a significant operating expense for fleet-based businesses. On-road fuel usage reporting enables precise tracking of consumption, helping identify inefficiencies or anomalies like excessive fuel usage.
• Optimization Opportunities: Analyzing fuel data helps companies improve routing, driving behavior, and vehicle efficiency to reduce overall fuel expenses.

2. Regulatory Compliance
• Fuel Tax Reporting: In many regions, businesses must report fuel usage to calculate road-use taxes, carbon levies, or other fees. Accurate data ensures compliance and avoids penalties.
• Environmental Reporting: Many jurisdictions require businesses to track and report carbon emissions, often based on fuel usage. This is essential for meeting sustainability goals and adhering to regulatory frameworks.
________________________________________
3. Fraud Prevention
• Fuel Theft Detection: Fuel reporting systems can identify discrepancies between fuel purchased and consumed, helping to detect and reduce theft or misuse.
• Accountability: Transparent fuel usage data ensures that drivers and operators are accountable for their assigned vehicles and fuel cards.
________________________________________
4. Vehicle Maintenance and Longevity
• Proactive Maintenance: Anomalies in fuel usage can indicate mechanical issues such as fuel leaks or engine inefficiencies, allowing for timely intervention.
• Improved Performance: Regular monitoring ensures that vehicles are operating within optimal parameters, extending their service life.
________________________________________
5. Sustainability Goals
• Carbon Footprint Reduction: Businesses aiming to reduce their environmental impact can use fuel reporting to monitor and minimize fuel consumption, contributing to sustainability initiatives.
• Renewable Integration: Tracking fuel usage supports the transition to alternative fuels or more fuel-efficient vehicles by identifying areas for improvement.
________________________________________
6. Insurance and Risk Management
• Incident Analysis: In case of accidents, fuel usage reports can provide valuable insights, such as whether excessive speeding or poor vehicle maintenance contributed to the event.
• Lower Insurance Premiums: Demonstrating efficient and responsible fuel usage can sometimes lead to reduced premiums for fleet insurance.
________________________________________
7. Competitive Advantage
• Operational Insights: Detailed fuel usage data provides insights that can help companies streamline operations, reduce costs, and improve service delivery, giving them a competitive edge.
• Customer Confidence: Demonstrating transparency and efficiency in operations, including fuel management, builds trust with clients.
________________________________________
8. Real-Time Decision-Making
• Dynamic Adjustments: Live fuel usage data enables fleet managers to make immediate decisions, such as re-routing vehicles or addressing inefficiencies in real time.
• Enhanced Fleet Visibility: Integrated with telematics, on-road fuel usage reporting offers a comprehensive view of fleet operations, improving overall management.

Solution

The company turned to RPM Industries for a turn-key solution. RPM designed and built a software and hardware package from scratch, and turned to Macnaught for the flow measurement component of this system after having previously used the MX-Series Oval Gear meters in other applications.

RPM was asked to design and implement a diesel fuel management system integrating advanced instrumentation and software that would facilitate accurate reporting and provide efficient fuel management:
1. Hardware: Macnaught MX-Series Oval Gear Flow meters, RPM’s proprietary controller, existing fuel pump, wiring harness w/connectors to convert existing wiring on vehicles. diesel dispensed.
2. RPM Fueling App Interface: RPM’s proprietary software which indicates tank levels, and ensures the correct fuel asset is selected, and captures all relevant vehicle data and user ID information.

To simplify, the driver scans a QR code via RPM’s fuel management app, and the correct fuel for that particular vehicle is selected by the controller. The system uses Macnaught’s MX-Series oval gear digital flow meters capable of high precision, measuring flow rates as low as 0.8 gallons/min and as high as 21 gallons/min. These meters were equipped with a reed switch pulse output, allowing for a non-powered yet highly accurate (0.5% of flow rate) volumetric measurement to be transmitted to the system’s controller.

Implementation

1. Hardware Installation: Positive displacement flow meters were chosen for their reliability and accuracy in handling diesel fuel. The system also utilizes ultrasonic tank level sensors to keep track of fuel levels system-wide.
2. Software Integration: A fuel management software platform was implemented to process data from flow meters, generating reports and triggering alerts for anomalies. At the heart of this package is a mobile app used by operators for fuel asset selection and recording usage on a per-asset basis.
3. Training: Operators and technicians were trained to understand the flow meters' functioning and interpret system data.
4. Testing and Calibration: The system underwent rigorous calibration to ensure compliance with accuracy standards.

Results

Reduced Theft and Wastage: Fuel losses are projected to be decreased by 35% due to the real-time tracking of fuel dispensed and consumed.
1. Enhanced Reporting: Automated reports provided precise data for audits and compliance, reducing errors in fuel tax submissions.
2. Operational Efficiency: Maintenance schedules improved by using fuel consumption data, leading to a 20% reduction in unplanned equipment downtime.
3. Cost Savings: The client can expect to save approximately 15% on its annual fuel budget through better allocation and reduced pilferage.
